Cost details

View detailed information about invoices.
The Invoice Line Items table displays cost details. On the upper right side of the table, there is a magnifying glass icon for searching and a columns icon to configure the columns included in the table.

Define your line items table view

You can configure the columns displayed in the table by clicking the Columns icon, called
Select your view
, at the table's upper right side. Clicking that icon displays a small pop-up window where you can select the columns to be displayed; you can also rearrange the display order of the columns by dragging up or down the name of the column from the list. You can click
Select all
to include all columns or use the check box to select the desired columns. Once you select the criteria, you can click the
Reset
or
Save
button at the bottom of the pop-up window, and the table automatically updates. You can select between:
  • Asset ID
  • Provider
  • Billing account name
  • Asset account name
  • Asset type
  • Asset name
  • Invoice Start Date
  • Invoice End Date
  • Description
  • Category
  • Customer Total Cost
  • Tags
  • Provider Invoice ID
  • Provider Currency
  • Provider Unit Cost
  • Provider Total Cost
  • Provider Tax Cost

  • Unit of Measure
You can collapse or expand the Invoice Line Items by clicking the minus icon on the right side of the section. From there, you can also move the section up and down on the page by clicking on the up/down arrows.
At the bottom left of the table, you can click on the drop-down menu to select how many items per page you want displayed. The options are 10, 20, 30, 40, and 50.
You can also navigate to the next or previous page if the total items per page don’t show the total items in one page, by clicking the left or right arrows at the bottom right of the table.
If additional segments have been configured, the segments will be available as columns in the Invoice Line Items.
The available columns depend on your role. Your administrator may have restricted your access to specific data.
Next to the Invoice Line Items title, you have a button called
get count
, it counts and shows all the items when clicked.

Viewing costs line item details

To view detailed information about an asset, in the line items table, click the row of the asset that you want to analyze. The Cost Line Item Detail page displays the Description details on the top of the window and the following three tabs:
  • Properties
    : Provides detailed information about an individual asset for the current month.
  • Tags
    : Displays all the tags associated with the asset.
  • Associated Costs
    : Displays the table of all child cost line items pertaining to this parent line item.
The Properties tab displays a table with columns for property and value. The property column displays the following attributes:
  • Asset Account ID
  • Asset Account Name
  • Asset Name
  • Asset Type
  • Billing Account ID
  • Billing Account Name
  • Customer Total Cost
  • Category
  • Provider
  • Customer Currency
  • Extract Date
  • Invoice Start Date
  • Invoice End Date
  • Load Date
  • Period
  • Provider Currency
  • Provider Invoice ID
  • Provider Region
  • Quantity
  • Service Start Date
  • Service End Date
  • Unit of Measure
  • Asset ID
  • Description

The tags tab displays a table with the following columns:
  • Tag Key
  • Tag Value
The associated costs tab displays a table with the following columns:
  • Billing Account Name
  • Billing Account ID
  • Asset Account ID
  • Asset Account Name
  • Customer Total Cost
  • Category
  • Description
You can also view the information of the asset on the Assets Dashboard by clicking view asset option at the beginning of the page.

Search option

The search option is located at the upper right side of the table, by clicking on the search icon. You can search any word to get a specific result, searchable columns are: Asset ID, Provider, Billing Account Name, Asset Account Name, Asset Type, Asset Name, Description, Category.
If your search criteria contain many characters or character segments, partial matches are returned. Search must use whole words with correct case, if you use double quotation marks (""), your search might be slow, but your search is also more exact.

Configuring segment charts view

The Configure Line Items option is located next to the Invoice Line Items title, click on the gear icon. Once you click on the gear icon, a pop-up window is displayed to select provider tags to view reports, table and charts.
The first option is called ADD PROVIDER TAGS, where you have a drop-down menu to select the tag, then you have ADD DYNAMIC TAGS, where you also have a drop-down menu to select the tag. After that is the APPLY THE CONFIGURATION TO, where you can select one of two options:
  • Only Segment Charts
  • Both Segment Charts and Line Items
Click
Save
once the criteria is selected.

Generating cost data file report

You can download the data available in your cost dashboard in a CSV, XLSX, or JSON format. This report is based on the configuration and filters used on the dashboard.
Follow steps to create your data report:
  1. At the beginning of the page, click the
    Download
    option available.
  2. A new window displays to generate the file report. You can select between downloading:
    • Download only selected segment charts, this is available on XLSX.
    • Download selected or all invoice items and details.
  3. Once you select the data you want to download, generate the file by filling out the following:
    • Kind
      : Costs by default.
    • File Name Prefix:
      Enter the name that you want to give to the file.
    • UTC Time
      : By default, the time and date that you generate the report is added.
    • Sequence Number/Suffix
      : By default, it is 36 but you can enter your own digits.
    • Format
      : Select between XLSX, CVS, or JSON. Note: Segment carts are only available in XLSX format, other format options will not be available.
    • Your File Name
      : This reflects the complete file name based on the criteria previously selected.
  4. You can also add to your report:
    • Pricing policies
    • Currency conversion
      When applying currency conversions, select the type of currency and exchange rate.
  5. Once all the options have been selected, click
    Download.
    Generating the file can take a few minutes, once the file is generated you receive a notification on your notification center.
